How we collect, use, and protect information provided by parents and students

Last updated: April 2027. This policy applies to information collected through our website (theadhyyan.edu.in), the School Navi parent portal, TAS Buddy chatbot, and our physical admissions and accounts processes.

1. Information We Collect

We collect the following categories of personal information:

  • Admission Enquiries: Name, contact number, email address, and child's grade of interest — when submitted through our website contact form, WhatsApp, or in person.
  • Registration & Admission: Student name and date of birth, parent/guardian names and identity details, residence address, previous school details, and academic records.
  • Fee Payments: Transaction reference numbers, payment modes, and fee ledger entries for billing and receipt generation.
  • School Navi Portal: Login credentials (mobile number and student admission number), fee history, and communication preferences.
  • TAS Buddy Chatbot: Queries typed into the chatbot during a browser session. See Section 6 for details.
  • Website Usage: Standard server logs, browser type, and page visit data collected automatically (no tracking cookies beyond what our hosting provider sets).

2. How We Use Your Information

  • To process and respond to admission enquiries and schedule campus visits.
  • To evaluate and confirm student admissions.
  • To generate and maintain fee records and issue official receipts.
  • To send official school communications — term schedules, examination notices, fee reminders — via SMS and email from our registered school sender ID.
  • To maintain School Navi parent portal accounts and facilitate secure online fee payment.
  • To comply with CBSE affiliation requirements and statutory disclosures (mandatory public disclosure under the Appendix IX).

3. Admissions Data — Collection & Retention

Information submitted during the admission process (registration forms, entrance interaction records, academic documents) is:

  • Access: Restricted to the Admissions Desk, Principal's Secretariat, and relevant academic staff only. Not shared with third parties except as required by CBSE or government authorities.
  • Retention: Active student records are retained for the duration of enrolment and for a minimum of three years thereafter, as required by CBSE norms. Unsuccessful admission applications are held for one academic session and then securely disposed of.
  • Conditional admissions: Where admission is subject to Class X board results, submitted documents are held pending result confirmation. If admission does not proceed, documents are returned to the parent/guardian on request.

4. Physical Document Handling

Original documents (mark sheets, transfer certificates, birth certificates, etc.) submitted at the time of admission are:

  • Kept in a secure physical file at the school office, accessible only to authorised administrative staff.
  • Not photocopied or shared beyond internal verification purposes without parent/guardian consent.
  • Returned to the parent/guardian upon formal withdrawal of admission or on written request, subject to clearance of any outstanding dues.

5. Fee Collection & Financial Data

Fee payment records and transaction references are maintained for accounting and audit purposes. We do not store credit or debit card numbers; online payments are processed through third-party payment gateways (UPI / net banking providers) which are independently PCI-DSS compliant. The school only receives confirmation of successful payment and a transaction reference number.

6. TAS Buddy Chatbot

TAS Buddy is a browser-based rule-matching assistant embedded on our website. It works entirely within your browser session:

  • No conversation logging: Queries typed into TAS Buddy are processed locally in your browser. They are not transmitted to, or stored on, our servers.
  • No personal data required: TAS Buddy does not ask for or store your name, phone number, or any identifying information.
  • Session only: All chat history in TAS Buddy is cleared when you close your browser tab.
  • Third-party AI: TAS Buddy does not use any external AI API; it is a locally-executed keyword-matching assistant.

7. Data Security

We take reasonable precautions to protect personal information: the website uses HTTPS (SSL/TLS encryption), School Navi access is protected by OTP-based authentication, and physical records are stored in locked office cabinets. While we strive to maintain high standards of data security, no method of transmission over the internet is completely secure.

8. Sharing of Information

We do not sell, rent, or trade personal information to any third party. Information may be shared with:

  • CBSE, government bodies, and inspection authorities — to the extent required by law or affiliation obligations.
  • Our School Navi ERP service provider — solely for the purpose of managing the parent portal and fee payment system, under a data processing agreement.
  • Emergency contacts — in cases of medical or safety emergencies involving a student.

9. Your Rights

Parents and guardians may contact us to:

  • Request access to or a copy of personal information held about their child.
  • Request correction of inaccurate records.
  • Request return or secure disposal of physical documents (subject to applicable legal and CBSE retention requirements).

10. Updates to This Policy

This Privacy Policy may be updated periodically to reflect changes in our practices or regulatory requirements. The updated policy will be published on this page with a revised date. Continued use of our website or submission of information after a revision constitutes acceptance of the updated policy.
